Inventory · Remise
Inventory: stock by status and location, stock movements, importing your list, rental contracts, barcodes and labels.
Inventory · Remise keeps track of everything your company owns, whatever tool uses it. You know what is in the warehouse, what is on each site and what needs repair.
Your crew records check-outs and returns by asking their assistant. Scaffold · Échafaud uses the same inventory for your plans.
The requests below are examples. Say them in your own words.
Inventory answers in English or French, and makes its pages and documents (labels, rental and return slips) in the same language. It uses English if you ask for it in the conversation or if your profile language is English. Otherwise, it uses French. Text already saved in French, such as an old import summary, stays in French.
What Inventory tracks
Statuses, for each part and each location:
- available;
- rented out;
- needs repair;
- out of service.
Stock movements:
- receipt;
- check-out;
- rental;
- return;
- sent for repair;
- back from repair;
- transfer from one location to another;
- adjustment after a count.
Each movement keeps the date and the name of the employee who recorded it. Inventory refuses a movement that would bring a quantity below zero.
What you can ask
Inventory and movements
| You ask | What Inventory does |
|---|---|
| “What do we have in stock?” | Lists the parts and their quantities by status. You can search for a part or filter the list. |
| “Show the record for the 5 ft frames.” | Shows a part’s record: specifications, barcodes, stock by status and by location, latest movements. |
| “Add a part: 10 ft steel plank, 19 kg.” | Creates a part record or corrects an existing one. Only the details you give change. |
| “Send 40 frames to the 245 site.” | Records the stock movement, with the employee’s name. |
| “What stock movements were recorded this week?” | Shows the latest movements, newest first, with the employee’s name. |
Importing your parts list
| You ask | What Inventory does |
|---|---|
| “I want to import my Excel file.” | Creates a page to upload your file, valid for one hour. Accepted formats: Excel (.xlsx) or CSV, 5 MB and 50,000 lines max. |
| “Here is the manufacturer’s PDF: import these parts.” | Sets aside the parts your assistant read from a manufacturer’s PDF, a photo or a pasted list. Nothing is imported yet. |
| “Show me the import preview.” | Shows what the import would do, without importing anything: recognized columns, first 10 rows, problems found and the effect of each import mode. |
| “Import in “add” mode.” | Prepares the import in the chosen mode and waits for your confirmation. Nothing is imported yet. |
| “Cancel the import.” | Cancels an import that is waiting for your confirmation. |
| “How did the import go?” | Tells you where the import stands and, once it is done, its summary. |
Before each import, you choose what happens to the parts already in the inventory. The modes keep their French names:
nouvelles(new only): only new parts come in. The others do not change.ajouter(add): the list’s quantities are added to stock, like a receipt.mettre à jour(update): the parts on the list take its quantities, like after a count. Parts missing from the list do not change.remplacer(replace): a full count. Parts missing from the list go back to 0.
The assistant never chooses the mode for you. A file already imported cannot be imported again in ajouter (add) mode: the receipt would be counted twice.
Then you confirm the import:
- If your app shows it, click “Importer” (Import) on the “Importer / Annuler” (Import / Cancel) card.
- Otherwise, type “Import” (or “Approve the import”) in the conversation. A vague answer is refused.
- You have 30 minutes to confirm. Without confirmation, nothing goes into the inventory.
No import deletes a record or a movement.
During the import:
- If a column in your file is not recognized, a form asks you which information it holds.
- A large import can take a few minutes. Ask “How is the import going?” to see its progress.
- Nothing goes into the inventory before the import ends. Everything goes in at once.
- After the import, a form asks for the category and mass of the parts whose record is incomplete.
Inventory keeps what your file contains as is, including a part’s English name. If the category or dimensions are missing, Inventory deduces them from the description when it is clear. The record says so: “Category and dimensions deduced from the description.” Mass is never deduced. If information is still missing, your assistant asks you for it after the import.
Activity log
| You ask | What Inventory does |
|---|---|
| “What did Julie change since Monday?” | Shows who did what in the inventory. You can filter by employee, by period (the last 7 days by default), by part or by type of action. For the company’s owner and administrators only. |
Every change to your inventory is recorded automatically in the log, with the employee’s name and the time:
- The log covers records, stock, movements, imports, barcodes, labels and rental contracts.
- Nobody can edit or erase the log.
- Looking at the inventory is not a change: it is not recorded.
- The log is kept for 10 years, even after an employee leaves. See the privacy policy.
The log starts with what is still waiting for action, with the name of the person who started it:
- unconfirmed imports;
- counts not applied;
- files never imported;
- late rental contracts.
It then lists the company’s members who changed nothing in the inventory during the period.
Rental contracts
| You ask | What Inventory does |
|---|---|
| “Open a rental contract for Example Construction: 40 frames until November 30.” | Opens the contract (client, site, address, dates, responsible employee, note) and records the parts going out: this is the first rental slip. You can also put parts already rented out under a contract. |
| “Add 20 planks to contract LOC-12.” | Adds parts to an open contract, with a new rental slip. |
| “LOC-12 returned 30 frames, 2 of them damaged.” | Records a return, partial or complete. Each part comes back in good condition, damaged (it moves to “needs repair”) or lost. |
| “Show contract LOC-12.” | Shows the contract, its lines and its slips. |
| “Which contracts are late?” | Lists contracts by client, by site or by status, or only the late ones. |
| “What does Example Construction still have?” | Lists the parts still with clients, by client or by site. |
| “Extend LOC-12 to December 15.” | Corrects a contract’s details, for example the expected return date. |
| “Close contract LOC-12.” | Closes or cancels a contract once the client has no parts left. To cancel, you give a reason. |
| “Print the return slip to sign.” | Creates the PDF of a rental or return slip, with a signature box for the company and one for the client. |
How contracts work:
- Each contract has its own number: LOC-1, LOC-2, and so on.
- Parts move to “rented out” as soon as they go out on the contract.
- Every slip is recorded in the stock movements.
- You can record a return in several loads.
- If a return is larger than what the client still has, the whole return is refused.
- At the last return, the contract closes.
- A contract is late when its expected return date has passed and the client still has parts.
- Nothing is erased: lines, slips and the log remain.
Each slip carries a TektonAI reference that proves where it comes from, like the labels.
Counting by photo
| You ask | What Inventory does |
|---|---|
| “I want to count the Yard A location by photo.” | Creates a page for the phone, valid for one hour. You take photos of the location’s labels on it. |
| “What is the result of the count?” | Shows, part by part, the labels read, the stock recorded at the location and the difference. Flags unknown codes. |
The stock changes only after you confirm, as with an import.
Barcodes and labels
| You ask | What Inventory does |
|---|---|
| “Link this barcode to the 5 ft frames.” | Links a barcode to a part: the manufacturer’s code (UPC, EAN) or a label’s code. A barcode matches one part only. |
| “Remove this barcode from the part.” | Removes the link between the barcode and the part. The record and the stock do not change. |
| “Which part is this code?” | Finds the part linked to a scanned barcode. |
| “I want to scan codes with my phone.” | Creates a page to scan barcodes with your phone, valid for one hour. You take a photo of the code, or scan it live with the camera if the browser allows it. |
| “What did I scan on my phone?” | Shows the latest codes scanned on that page, with the linked part. |
| “Print the labels for our 5 ft frames.” | Creates the label PDF for the requested parts, in Code 128 or QR: 10 labels of 4 × 2 in per Letter sheet (Avery 5163 or 8163). |
Each label sheet carries a TektonAI reference that proves where it comes from. See Check that a document comes from TektonAI.
To scan a barcode, you have three options:
- a USB or Bluetooth barcode reader;
- a phone app that types the code into the conversation;
- Inventory’s page for scanning with your phone (see the table).
You can also enter the code manually. Wherever you give a part’s code, you can give a linked barcode instead.
On a photo sent in the conversation, only the digits printed under the bars are read reliably. To read the bars with the phone’s camera, use Inventory’s scanning page.
When you import, a manufacturer barcode column is recognized: its codes are linked to the parts in the file.
Before equipping the whole team, try your barcode reader. Print the labels at 100%, with no fit-to-page scaling.
